Who we are
West Nottingham Chess Club is a chess club playing on Tuesday evenings at Bramcote Memorial Hall, Church Lane, Bramcote, Nottingham.
How we collect your information
The only information we obtain about our members is provided by them directly as a result of completing our membership form. We do not collect personal data simply as a result of a person visiting our website, and do not track visitors to our site.
What membership data do we collect?
Name, Address, Phone Number, Email Address, ECF Grade and Membership Details, League Game Results and for juniors Date of Birth and contact details of parents or carers.
How your information is used
The personal data we obtain is applied for the following purposes, namely to:
- Obtain payment of membership fees to fund the operation of the Club.
- Identify members on the English Chess Federation (ECF) Website.
- Submit details to the ECF to enrol West Nottingham Chess Club members as ECF members.
- Register members to play for West Nottingham Chess Club in competitions which West Nottingham Chess Club enters.
- Submit results of matches played to the ECF for rating purposes or to other organisations running competitions in which West Nottingham Chess Club participates.
- Communicating with members for the purposes of running the chess club, including selecting and organising teams and other chess events.
- To keep an emergency contact list of parents and carers for the Junior Session, kept in a secure location when not in use.
Consistently with this, the contact details provided to us by members may be used to contact them for the purposes of the Chess Club.
We will hold personal data for as long as a person is a member and for one calendar year afterwards, which may be extended on their request.
This data is held pursuant to the legitimate interests of West Nottingham Chess Club which is the basis on which your data as set out is processed.
Who can access information
Unless required by law, we do not sell, rent or otherwise share personal data with other third parties. On the request of team captains we will provide your email address so they can invite you to play in league matches for the club, unless you have requested otherwise.
Rights
Members can ask for a copy of the data we hold about them. If a member provides information about another person, it is their responsibility to ensure that the other person has given their explicit consent to the processing of their personal data. Members can request for their personal data to be amended or removed, however doing so may prevent members from participating in club activities or those organised by our county associations.
Should you have any unresolved complaints about the way we process your personal data, you have the right to make a formal complaint to the Information Commissioner’s Office (ICO).
Email contact group
All current members of the club are entitled to opt in to an email group list run by the Club Secretary. This is used for the notification of any news related to West Nottingham Chess Club and the county chess associations (Nottinghamshire and Derbyshire). We may also let you know about other chess events we think you would find of interest.
The West Nottingham Chess Club email list is provided as a service to our members. We will not sell or share this list with any third parties, and it is kept securely by the Club Secretary. No personal data is published on the club website with the exception of contact details for officers and team captains. Emails are sent bcc for the privacy of members.
New members are invited to opt in to the email list when they join the club. Lapsed members will remain on the list for one year, after which time they will be removed unless they have requested to stay on the list.
Members have the right to opt our of the email list at any time by contacting the Club Secretary, either use the form on the website or by replying to the last email received. Please put 'Unsubscribe' in the subject field.
